Wi-Fi is the most complained-about and least diagnosed part of a small office network. Video calls break up in one corner, the back office loses the printer every afternoon, and someone eventually suggests calling the internet provider — who runs a speed test at the wall, finds nothing wrong, and closes the ticket.
We start somewhere else: measuring what the wireless is actually doing where people sit.
What we find, in rough order of frequency
Access points in the wrong place. The single most common cause. Wi-Fi radiates in a sphere and gets absorbed by everything solid — brick, concrete, filing cabinets, elevator shafts, and the mirrors and pipework in bathrooms. An access point mounted for convenience near the server closet rather than for coverage will leave a dead zone thirty feet away.
Channel overlap. On 2.4 GHz there are only three non-overlapping channels. If your three access points, the dental office upstairs and the café below are all broadcasting on channel 6, they take turns talking. In a dense Boston building — Back Bay, Downtown Crossing, anywhere in Cambridge near Kendall — we routinely see forty networks competing in one hallway.
Everything on 2.4 GHz. Older devices and cheap IoT gear cling to the slower band, and some access points never steer clients to 5 GHz even when it is available and idle. The result is a fast network nobody is using.
One router doing four jobs. The ISP-supplied box acting as modem, router, firewall and access point in a 3,000 square foot office. It was never designed for that.
Bandwidth with no priority. No QoS, so a cloud backup or a large upload competes on equal terms with the video call your client is on.
How we work
1. Site survey. We walk the space with a meter and record signal strength, noise and channel usage at the desks people actually use — not at the access point, where the reading is always excellent.
2. Findings you can read. A floor plan marked with coverage, a list of interference sources, and each problem tied to the symptom you reported. If your complaint was “the conference room drops calls”, you get the reason for the conference room specifically.
3. Fix in order of cost. Configuration changes first, because they are free: channel plan, band steering, transmit power, firmware. Then placement. Hardware last, and only where it is genuinely required.
4. Verify. We re-measure after the change. A Wi-Fi job that ends without a second measurement is a guess.
Guest Wi-Fi and the part people skip
If visitors join the same network as your workstations, every guest device sits inside your network. For an office handling client financial or personal records, that is a real exposure — and under Massachusetts data protection rules, 201 CMR 17.00, you are expected to have reasonable safeguards on systems holding personal information about residents.
Separating guest traffic takes about twenty minutes on decent hardware. We do it as part of any Wi-Fi engagement rather than selling it as an extra.
Wi-Fi in older Boston buildings
Much of our area is brick and plaster built long before anyone thought about radio. Triple-decker conversions in Somerville and Dorchester, converted mills, brownstones in the South End, and Cambridge buildings with structural steel where you least expect it.
The practical consequences: plaster with metal lath blocks Wi-Fi far more than drywall, so a signal that would cover a modern open-plan office dies at the second wall. Running a cable to a second access point is often cheaper and always more reliable than trying to punch a signal through. And in buildings with many small tenants, the airspace is crowded, so channel planning matters more than raw hardware.
We work in these buildings constantly and plan for them rather than being surprised.
What this costs
A survey and configuration pass for a typical small office runs a few hundred dollars, and in most cases that is the whole engagement — no hardware needed. If access points are genuinely required, we tell you what and why before anything is ordered, and you are free to buy the equipment yourself.
We do not mark up hardware and then recommend hardware. Those two things should not sit in the same business.

Frequently asked questions
- Why is my office Wi-Fi slow in the afternoon but fine in the morning?
- Almost always congestion rather than a fault. More people connect as the day fills up, and every device shares the same airtime. If your access points are all on overlapping channels, they also interfere with each other. This is a configuration problem, not a reason to buy a faster internet plan.
- Do I need new hardware to fix dead zones?
- Usually not. Most offices we visit have adequate hardware in the wrong place — an access point above a drop ceiling on the far side of a brick wall, or a single router expected to cover 4,000 square feet. We survey first and tell you honestly whether placement fixes it or you genuinely need another unit.
- Will faster internet fix bad Wi-Fi?
- No, and this is the most common money wasted in small offices. Your internet plan is the pipe coming into the building; Wi-Fi is how it travels the last 60 feet. If the wireless is the bottleneck, doubling the plan changes nothing you can feel.
- How long does a Wi-Fi survey take?
- For a typical small office, two to three hours on site. You get a floor plan marked with signal strength, the interference we found, and a short list of what to change — in order of impact and cost.
- Can you fix Wi-Fi problems remotely?
- Configuration issues, yes — channel planning, firmware, band steering and QoS can all be done in a remote session. Coverage and interference need someone walking the space with a meter, because the problem is physical.
